Frequently Asked Questions
The most useful answers about FlowSharp: how it works, pricing, integrations, AI governance and more.
Product
What is FlowSharp and what is it used for?
FlowSharp is a platform for turning scattered business processes into a governed, measurable and automatable operating system.
What user roles exist in FlowSharp and what can each one do?
FlowSharp has 5 roles: ReadOnly, Operator, FlowDesigner, Admin and Super Admin. Each has distinct permissions over flows, items, configuration and tenant management.
Is FlowSharp suitable for SMEs or only large companies?
FlowSharp is designed to scale: start with a single process and a few users, then grow with your organisation. No dedicated IT team needed to get started.
What is the difference between FlowSharp and a traditional BPM?
Traditional BPMs model the ideal process. FlowSharp starts from the real process, measures it as it works and uses that data to guide automation and AI.
Features
How does the FlowSharp Flow Designer work?
The Flow Designer is a visual canvas where you design states, transitions and tasks. You can start from scratch or use AI to generate a first draft.
What is a Process Map in FlowSharp and when should you use it?
A Process Map is the macro-process view that connects multiple flows, systems, documents and manual steps in a single map verified against the real wiring.
How do you measure the ROI of a process with FlowSharp Analytics?
FlowSharp measures time, cost, automation and savings for every process. ROI is calculated on real item data, not estimates.
What are WIP limits in FlowSharp and why do they matter?
WIP limits are capacity caps on a flow or phase. When the limit is reached, new cases wait, preventing hidden bottlenecks and team overload.
Does FlowSharp have pre-built flow templates to start from?
Yes. FlowSharp includes a library of ready-to-use templates for the most common processes: Order to Cash, onboarding, complaints, purchasing and more.
Integrations
Does FlowSharp integrate with n8n and other automation tools?
Yes. FlowSharp integrates natively with n8n via REST API, webhooks and callbacks. n8n can start flows, react to events and complete async tasks.
Does FlowSharp have an API? How does it integrate with external systems?
Yes. FlowSharp offers REST API, API keys for external triggers, webhooks, async callbacks, MCP and a browser extension to integrate with any system.
Does FlowSharp support MCP (Model Context Protocol) for AI agents?
Yes. FlowSharp exposes an MCP interface that allows AI agents like Claude to query processes, start flows and complete tasks in natural language.
How do you start a FlowSharp process from an external system?
Via API trigger with API key: a POST to the dedicated endpoint creates an item in the chosen flow and starts the process. No manual intervention needed.
AI Governance
How does FlowSharp manage AI with governance and control?
FlowSharp does not let AI act freely. Every AI action happens inside declared roles, Data Shield, Data Gate and audit in the flow.
What is Data Shield in FlowSharp and how does it protect sensitive data?
Data Shield is the mechanism that prevents AI models from accessing data marked as sensitive, even when operating on the same item.
How does human-in-the-loop work in FlowSharp processes?
In FlowSharp people are not exceptions to the process: they are part of the process. Human tasks, approvals and reviews are native task types in the flow.
How does FlowSharp ensure the security and compliance of business data?
FlowSharp combines Data Shield, complete audit, granular roles and secret variables to ensure sensitive data is never exposed to unauthorised parties.
